CODE OF CONDUCT FOR SENIOR ATHLETES

As a responsible athlete, I will:

  • abide by the UKA and the HCAF Child Safeguarding Policy and Child Safeguarding Procedures

  • abide by the UKA and the HCAF Adult Safeguarding Policy and Adult Safeguarding Procedures

  • respect the rights of every athlete, coach, technical official and others involved in athletics and treat everyone equitably

  • uphold the same sporting values away from sport as I do when I am engaged in athletics

  • participate within the rules of the sport, respect decisions of coaches and officials, and demonstrate respect towards fellow athletes

  • cooperate fully with others involved in the sport such as coaches, technical officials, team managers, doctors, physiotherapists, sport scientists and representatives of the governing body in my best interests and those of other athletes

  • consistently promote positive aspects of the sport and never condone rule violations or the use of prohibited substances

  • anticipate and be responsible for my own needs, including being organised, having the appropriate equipment and being on time

  • inform my coach of any other coaching that I am seeking or receiving

  • act with dignity and display courtesy and good manners towards others

  • in no way undermine, put down or belittle other athletes, coaches or practitioners]

  • avoid swearing and abusive language whilst in athletic venues, at club functions and events, or when as part of a team/squad

  • never engage in any inappropriate or illegal behaviour

  • challenge and report inappropriate behaviour and language by others

  • not misuse or abuse sporting equipment and venues

  • not carry or consume alcohol or illegal substances while training or competing in athletics

  • maintain strict boundaries between friendship and intimacy with a coach or official

  • use safe transport or travel arrangements

  • act ethically, professionally and with integrity, and take responsibility for your actions.

  • I recognise that I am bound by the UKA Anti-Doping Regulations, and submit to the authority of UK Anti-Doping in the application and enforcement of the Anti-Doping Rules. UK Anti-Doping Rules apply to all member participating in athletics for a minimum of 12 months from the commencement of membership whether or not the member is a citizen of, or resident in, the UK. Any athlete wishing to retire from the sport of athletics must put this in writing to the club and their Home Country Athletics Federation (Athletics Northern Ireland / England Athletics / Scottish Athletics / Welsh Athletics) and cancel any applicable membership. Official retirement will remove the athlete from being under the auspices of UKA's Anti-Doping Rules.


CODE OF CONDUCT FOR CHILDREN AND YOUNG PEOPLE (under 18 years)

As a child or young person under 18 years, I have the right to:

  • be safe and protected

  • be listened to

  • be respected and treated fairly

  • be believed

  • ask for help

  • be coached by someone who has the right qualifications

As a young athlete, I will respect the code of conduct and I will:

  • be friendly and supportive to other athletes

  • keep myself safe

  • tell my coach if I am ill or injured

  • report inappropriate behaviour or risky situations to an adult

  • compete fairly and respect other athletes and officials

  • respect the rules of my club

  • behave and listen to all instructions from my coach and officials

  • take care of equipment owned or provided by the club or training facility

  • not use bad language or take part in inappropriate or illegal behaviour

  • not bully anyone or pressure them to do things they do not want to, including online

  • in no way undermine, put down or belittle other athletes, coaches or practitioners

  • keep to agreed timings for all club activities

  • tell my parents/carers where I am or if I’m going to be late

  • not use my mobile phone during training, competitions or in changing rooms

  • not carry or consume alcohol or illegal substances while training or competing in athletics

  • use safe transport or travel arrangements.

CODE OF CONDUCT FOR PARENTS/CARERS

As a responsible parent/carer of an athlete aged under 18, I will:

  • abide by the UKA and the HCAF Child Safeguarding Policy and Child Safeguarding Procedures

  • abide by the UKA and the HCAF Adult Safeguarding Policy and Adult Safeguarding Procedures

  • demonstrate respectful behaviour at all times

  • set a good example and encourage my child to learn the rules of the sport and compete within them at all times

  • help my child to recognise good performance and not just results

  • make athletics fun

  • never force my child to take part in sport if they do not want to

  • never punish or belittle my child for losing or making mistakes

  • use correct and appropriate language at all times

  • check the qualifications and licences of people who are coaching or managing my child, or offering a service connected to athletics such as physiotherapy, massage or nutritional advice

  • know exactly where my child will be and who they will be with at all times

  • assume responsibility for safe transportation of my child to and from training and competition

  • return any necessary written consent forms to the club/team manager or appropriate person, including next of kin details, health and medical requirements before my child goes to any away events or trips

  • provide any necessary medical information and medication that my child needs for training or trips away

  • report any concerns about my child’s (or any other child’s) welfare to the Club Welfare Officer or National Welfare Officer. (This does not affect your right to contact your local Social Services or the Police if you feel it is necessary)

in no way undermine, put down or belittle athletes, coaches or practitioners.


GOOD SPECTATOR BEHAVIOUR

I understand that inappropriate pressure on children and poor behaviour of adult spectators can sometimes make children drop out of sport. I accept that this code promotes good spectator behaviour, and understand that if I verbally abuse children, coaches or officials, action will be taken.


GOOD NEIGHBOUR POLICY

All of our club sessions take place either on the streets of Ealing, local parks, or on running tracks used by other clubs and members of the public. We ask members to bear this in mind at all times, and to give priority to pedestrians and avoid cycle lanes when running in the streets and parks. 

We also aim for the club to have no negative impact on the local area, which means never leaving litter behind and ensuring we cause no damage or nuisance during our training sessions.

All of our members are residents local to the wider Ealing area and enjoy running in their own neighbourhoods. We believe the club is an asset to the local community and strive for this to be reflected in members' behaviour.


SOCIAL MEDIA POLICY

The Ealing Eagles Facebook Group is an active members area where our runners can get to know one another.  It also allows newer members to get a feel for what a friendly and sociable club we are.

The Facebook group is:

  • for Ealing Eagles club members only (if we can't easily identify you as a club member when you request to join the group, you may be asked for more information we accept your request to join the group)

  • to be used for running and club related subjects e.g. discussing training tips, races, equipment, arranging transport to events and races, organising socials and parties, informal training sessions etc

  • an informal forum. Please bear this in mind when arranging to attend informal training sessions organised through the Group, and act responsibly

  • to be used in a respectful manner i.e. no inappropriate language or content, and be respectful of other members

  • for sharing Eagles photos, running related information and articles you think may be of interest to your club mates

  • to be used sensibly i.e. don't post anything you might regret later, or that is likely to offend others

  • NOT the place to swap race entries/numbers without first gaining approval to do so from the race organiser. If you do have permission, please say so when you post to the group

  • NOT to be used for advertising services for commercial gain without the prior approval of the committee

  • NOT a substitute for eBay or Gumtree i.e. no advertising of anything not running/ triathlon related (such as flats with spare rooms) selling or giving away anything not connected with running or selling or advertising 3rd party products or services (if you feel that a product or service would be of interest to our members, ask the seller if they would like to become a club sponsor)

  • NOT for sharing fundraising links (due to the sheer number of charity runners in the club)

  • NOT for sharing your non-running holiday photos

  • NOT for expressing political, religious or other potentially divisive opinion or for for being critical, confrontational or abusive toward other club members

  • NOT for raising issues for the attention of the committee (who don't check every post/thread). These should be addressed to info@ealingeagles.com or via the Contact Form.

As a general rule, before posting think if your post or comment adds to the Ealing Eagles running community and consider what a new member would think when reading your comment (perhaps without knowing the background).  Finally, do remember that sarcasm and humour is often not conveyed very well on a forum of this sort and can easily appear rude or offensive.

Eagles are a diverse group of people with different interests and targets in addition to the basic Eagles wanting to run so we have set up some dedicated club Facebook groups for those who want to share discussion on their area of particular interest.

We also have a Twitter page and Tweeting Eagles are encouraged to follow us (@ealingeagles) and to help us spread the word about the club. However please remember that Twitter, unlike the Facebook group, is a completely public forum and we therefore need to take care about how we present the club. 


PRIVACY & PHOTO POLICY

Ealing Eagles Running Club Privacy Notice

Ealing Eagles Running Club are committed to protecting and respecting your privacy. For any personal data you provide for the purposes of your membership, Ealing Eagles Running Club is the Data Controller and is responsible for storing and otherwise processing that data in a fair, lawful, secure and transparent way.

What personal data we hold on you

You may give us information about you by filling in forms at an event or online, or by corresponding with us by phone, e-mail or otherwise. This includes information you provide when you register with the Club.   The information you give us may include your name, date of birth, address, e-mail address, phone number, name of the EA affiliated Clubs with which you are registered and gender (Athletics Data).

Why we need your personal data

The reason we need your Athletics Data is to be able to administer your membership, and provide the membership services you are signing up to when you register with the club. Our lawful basis for processing your personal is that we have a contractual obligation to you as a member to provide the services you are registering for.

Reasons we need to process your data include:

For training and competition entry  

  • sharing personal data with club coaches or officials to administer training sessions;

  • sharing personal data with club team managers to enter events;

  • sharing personal data with facility providers to manage access to the track or check delivery standards; and

  • sharing personal data with leagues, county associations (and county schools’ associations) and other competition providers for entry in events.

For funding and reporting purposes

  • sharing anonymised data with a funding partner as condition of grant funding e.g. Local Authority;

  • analysing anonymised data to monitor club trends; and

  • sending an annual club survey to improve your experience as a club member

For membership and club management  

  • processing of membership forms and payments;

  • sharing data with committee members to provide information about club activities, membership renewals or invitation to social events;

  • club newsletter promoting club activity; and

  • publishing of race and competition results

On occasion we may collect personal data from non-members, for example in relation to the club Beginner’s programme. This information will be stored for 1 month or the duration of the activity it relates to and then destroyed securely. Our lawful basis for processing data is consent. Therefore, we will also need explicit consent from non-members to process this data, which we will ask for at the point of collecting it.

The club has the following social media pages - Facebook and Twitter. All members* are free to join these pages. If you join one of the Social Media pages, please note that provider of the social media platform(s) have their own privacy policies and that the club do not accept any responsibility or liability for these policies.  Please check these policies before you submit any personal data on the club social media pages.

Who we share your personal data with

When you become a member of Ealing Eagles Running Club, you** will also automatically be registered as a member of England Athletics Limited. We will provide England Athletics Limited with your Athletics Data which they will use to enable access to the MyAthletics portal. England Athletics Limited will contact you to invite you to sign into and update your MyAthletics portal. You can set and amend your privacy settings from the MyAthletics portal. If you have any questions about the continuing privacy of your personal data when it is shared with England Athletics Limited, please contact dataprotection@englandathletics.org.

The Club does not supply any personal data it holds for this purpose to any other third party.  The Club does not store or transfer your personal data outside of the UK.

How long we hold your personal data

We will hold your personal data on file for as long as you are a member with us. Athlete data is updated every year on annual membership forms. Any personal data we hold on you will be securely destroyed after five years of inactivity on that member’s account, in line with England Athletics Limited’s retention policy. Your data is not processed for any further purposes other than those detailed in this policy.

Your rights regarding your personal data

As a data subject you may have the right at any time to request access to, rectification or erasure of your personal data; to restrict or object to certain kinds of processing of your personal data, including direct marketing; to the portability of your personal data and to complain to the UK’s data protection supervisory authority, the Information Commissioner’s Office about the processing of your personal data.

As a data subject you are not obliged to share your personal data with the Club. If you choose not to share your personal data with us we may not be able to register or administer your membership.

JUNIORS PHOTO POLICY

The Ealing Eagles Running Club recognises the need to ensure the welfare and safety of all young people in athletics and, in accordance with the UK Athletics child protection policy and procedures, will not permit photographs, video or other images of children/young people to be taken without the consent of the parents/carers and children/young people. The Ealing Eagles Running Club will take all possible steps to ensure any photographs, videos or other images taken are used solely for the purposes they are intended. If you become aware that these images are being used inappropriately you should inform the Club Welfare Officer immediately.


BREACH OF THE CODE OF CONDUCT

I understand that if I do not follow the code, action can be taken by my club and I may:

  • be asked to apologise for my behaviour

  • receive a verbal warning from my coach

  • receive a verbal or written warning from the club committee

  • be suspended from attending club training sessions

  • be suspended from the club

  • be required to leave the club.
